Office Manager – Customer Support

Office Manager – Customer Service

Minimum Experience:

Very computer literate and knowledgeable in Excel, Word, Powerpoint, Outlook, etc.
Excellent customer service and interpersonal skills
Highly motivated, detail-oriented, self-starter, energetic and possess a solid work ethic
Excellent scheduling and time management skills
Excellent phone skills with the ability to handle multiple lines
Must be able to work independently as well as with a team

Duties (including but not limited to):

Specific responsibilities or duties include but are not limited to:

o Answer main phone and direct calls accordingly
o Input reservation forms, create invoices and payments in Peak 15
o Responsible for answering and maintaining “TeamAustin” Guest email account
o Process catalog requests and set up sales staff follow up appointments
o Process final payment and revise guests invoices as needed
o Prepare departure statistics and contact guests with missing information
o Maintain Master Reservation File on Central Filing Cabinet
o Input guest information (if emailed) vs Guest Portal
o Main contact for office vendors – phone, internet, copy machine/printer, postage meter, lawn service, etc.
o Office duties (filing, copying, mailing, etc.)
o Collect office mail from PO Box 2-3 times weekly
o Order AA paper products inventory (letterhead, envelopes, etc.) as needed
o Order office supplies as needed
o Assist in creating custom proposals and pre-departure planners (PTP’s) as requested by Operations
o Assist operations in preparation of trip boxes, Kid packs & sweet dream inventory as needed
o Make outgoing qualifying calls for sales
o Assist with the selling of trips in a backup capacity
o Additional duties as assigned

The above reflects the obvious duties; in addition, the Office Manager will be expected to assist in any and all capacities deemed appropriate in running the day-to-day business as well as strategizing and implementing future plans and pursuing additional opportunities for Austin Adventures. The Office Manager will represent the company with vendors, clients and inside and outside the industry in the highest light possible, projecting a positive and quality-based image at every opportunity.

Hours: 8:00 am – 5:00pm – 1 hour break (typical hours but can vary as business dictates)
Days: Monday – Friday (occasional weekend as business dictates)
